A couple chose their venue because it approved their dog, booked a handler and a pet-friendly hotel. A year later they were told the approval came from someone without the authority to give it, and the answer was now no, no exceptions. They had it in writing. The venue relented, but not before thousands of planners and couples had read the story.

That is the real cost of a reversed exception: refusing costs you one booking, taking a yes back costs you the review and the network you spent a season building.

Why the exception is the clause that fails

Venue policies are lists of prohibitions. The failure almost never sits in the list — it sits in the exception someone granted at a site visit because it was going to close the deal. Three things break it: the person who said yes could not bind the venue, the yes was never written down or carried no revocation clause, and nobody checked whether it was deliverable on that site.

Five exceptions that get asked for

• Pets and animals — access routes, waste, liability, ceremony versus reception zones.
• Outside catering and alcohol — licensing, kitchen access, service space, corkage.
• Food trucks and dessert carts — power, grey water, ground protection, delivery windows.
• Cold sparks, candles, fireworks — fire risk, insurer requirements, clearances.
• Extended curfew and late load-out — crew hours, noise conditions, tomorrow's booking.

Who can say yes, and how to write it down

Five decisions separate an exception that sells from one that costs you:

1. Authority. One named role approves exceptions; everyone else routes requests to that role.
2. In writing. What is approved, where, for how long, under what conditions.
3. Revocability. Say whether it can be withdrawn, and what the couple gets if it is.
4. Deliverability. Check the site constraint first — ground, power, access, clearance.
5. A path back. If you must refuse later, offer the alternative you can deliver in the same message.

Keep an exceptions log: a request arriving three times in a season is a policy you have not written yet.

What kind of venue you run decides what you can grant

The same request lands differently depending on the space.

• A permanent hall locks its rules to a building, so exceptions come down to fully allowed or fully refused.
• A marquee or tent gives layout freedom, but ground conditions, anchoring and weather exposure become the deciding conditions.
• A hotel ballroom brings house rules and minimum spends, so many exceptions sit outside your control.
• A modular building behaves closer to permanence, and moving it later is not routine.
• A relocatable venue can be repositioned between sites, so an exception tied to a constraint — a low branch, narrow access, a wet field — is often solved by changing where the room stands.

Compare them on who holds the permit at each site, whether capacity can change per booking, and which conditions are yours to waive at all.
