A banquet hall's real capacity is not the number printed on a floor plan. It is what is left after the room has paid for everything a reception needs besides tables.
That subtraction is where most venue plans go wrong, and it runs in both directions. Operators who work from the supplier's maximum guest figure book dates they cannot seat properly once a dance floor, a stage and a buffet run are in the room. Operators who work from a comfortable seating number alone under-use a hall they have already paid for. The number that matters is the one you can defend to a couple, to your caterer and to whoever sets your permitted occupancy — and it comes from zoning the floor, not from dividing area by a per-person allowance.
This page sets out how to do that division: the five zones every reception needs, the planning allowances that apply to each, and the order to work in so the layout survives contact with a real event.
Before any table goes down, three dimensions set the limits:
Two structural constraints sit on top of the dimensions, and both change layouts rather than numbers. Interior fittings have to clear the retracted envelope, so fixed walls, bars and counters have to be repositionable rather than built in — the practical consequence is covered in why fixed walls, bars and counters have to move. And the entry sequence has to work for a service crew as well as guests, which usually means deciding the catering route before the table plan.
Work in this order. Each zone is subtracted from the usable area before the next one is placed, and the last zone — dining — gets whatever is left.
1. circulation and access. Allow around 15–20% of usable area for guests moving, service paths, the entrance sequence and emergency egress routes. This is the zone operators most often forget, and the one an inspector will notice first. Egress requirements are set locally, not by the room, so confirm them before you fix the table plan.
2. Dance floor. A usable floor for a live band or DJ is commonly planned at roughly 0.15–0.25 m² per guest invited — the usual assumption being that around a third of the room dances at once — with an absolute floor of about 15–25 m² for a typical 100-guest wedding. The dance floor is also the zone that tells you whether the room is being used as a reception or as a dining room: it is usually the difference between the two guest numbers you will be asked for.
3. Stage or head table. A raised stage for a band or a speech set-up commonly takes 12–25 m² including the access steps and the clearance in front of it. A head table alone uses far less — but if you plan both, they nearly always share the same end of the room.
4. Bar, buffet and service run. Budget 15–25 m², or roughly 0.2–0.3 m² per guest, for a bar and a buffet line with a working aisle behind it. A single buffet run serving 100 guests is a queue-management problem as much as an area problem, so most operators plan two serving points rather than one long line.
5. Dining. What remains, at roughly 1.2–1.5 m² per guest for a seated banquet at rounds of ten with chairs pulled out and service access between tables. This allowance already includes the space between tables; do not subtract circulation from it a second time.
Notice what that sequence means in practice. On a hall of around 150 m² of usable area, the four non-dining zones typically absorb somewhere between 60 and 100 m² depending on how generous the bar, buffet and stage provision is — before a single table is placed. Which is why a seated banquet with a dance floor, a stage and a full service run lands well below any figure that assumes the room is filled with chairs.
That is the point worth stating plainly, because it is where expectations get set wrong. A supplier's maximum guest figure, a comfortable seated banquet number and your permitted occupancy are three different numbers. A maximum figure generally assumes standing or theatre-style seating with no dance floor; a permitted occupancy is set by your local authority against exits, escape routes and material ratings; and the comfortable banquet number is what you get after the five zones above. Quote the third one to clients, and confirm the second one with your authority before you print a capacity on your website.

One structural note that affects all five formats in a relocatable venue: the expansion mechanism means the room's usable width after deployment is a fixed figure, so the table plan has to work with the pillar-free span you actually have rather than the span you would design from scratch.

How many guests fit in a 150 m² banquet hall? It depends entirely on the format. As a planning exercise, subtract circulation (15–20%), a dance floor, a stage and a service run first, then apply 1.2–1.5 m² per seated guest to what is left. A seated banquet with a dance floor and a stage lands far below a standing or theatre-style figure for the same room. These allowances are planning starting points — confirm the final numbers with your caterer and your local authority.
Is a round of ten or a round of twelve better? Rounds of ten are easier to serve and easier to space correctly. Rounds of twelve raise the covers per table but need a clearer central aisle and put more guests further from the room's focal points. Neither is universally better; the room's span usually decides.
Does a bigger unit always give a better banquet layout? Not automatically. A longer hall adds area, which helps, but the usable rectangle, the clear height and the entry positions are what the table plan actually depends on. Check the shape, not just the total.
Can I reduce the layout constraints with a different roof type? Interior clear height is the variable that decides rigging and raised stages. Units with a liftable roof deliver roughly 3.8 m and above of clear height; sides-only expansion units have a fixed body height and cannot be raised, which is the wrong family if a tall, rigged room is part of your offer.
